General overview of position The Performing Arts Assistant is a vital member of the Performing Arts team at TASIS, providing broad administrative, operational, and logistical support across a wide range of performances, events, and programs. This position supports faculty, students, and guest artists, helping to ensure the smooth execution of the department’s diverse offerings. With a strong emphasis on communication, organization, and attention to detail, the assistant plays a key role in the department’s success throughout the school year.
Specific responsibilities Event&Production Support
Manage and host cultural events in collaboration with the Performing Arts team and guest artists.
Provide house management for performances, concerts, and departmental showcases.
Support the planning and delivery of the Performing Arts Showcase, Red Carpet, Spring Arts Festival, and other major events.
Assist with instrumental recitals, including space setup, signage, and audience coordination.
Assist with checking and finalizing programs, signage, and event materials.
Provide on-site support for:
Christmas events (Zürich concert, ES Christmas, Christmas Service)
Founder’s Day, International Week, and Assemblies
Middle and High School Productions, choir and orchestra performances
Academic Travel performances and related logistics
Open Days for ES, MS, and HS
Palmer Center, Kay Hamblin Terrace&Inventory Oversight
Act as Palmer Center and Kay Hamblin Terrace manager: coordinate bookings, ensure space is prepared for events, and restored afterward.
Maintain and manage the costume and props inventory across performance spaces and storage areas.
Administrative&Communication Support
Provide administrative support for all major departmental events and daily tasks.
Manage emails and meeting coordination for internal and external communications.
Coordinate and manage student name lists and dismissals on Veracross.
Assist with budget tracking and support for the HS Musical.
Ensure documentation, planning, and logistics are properly transitioned during the summer handover to support the start of summer programs.
Travel&Student Support
Provide planning and on-site support for travel and logistics related to:
Fall Play Retreat Weekend in October
Weekend HS Choir Retreat in September
Long weekend HS Paris Trip in November
Long weekend HS Musical Retreat in February
Overnight MS Choir trip in November
Act as a liaison and logistical support contact for these trips where needed.
Summary of educational background and professional experience required to take over the position
Fluency in English; Italian proficiency is highly desirable
Experience in performing arts, event planning, or production coordination
Administrative and communication experience, including email, scheduling, and logistics
Knowledge of student information systems such as Veracross is a plus
Comfortable working evenings and weekends when required
Professional and personal skills needed to take over the position
Excellent organizational and time-management skills
Strong written and verbal communication abilities
Detail-oriented and proactive problem-solver, taking initiative
Collaborative, flexible, and responsive under pressure
A friendly and professional presence when interacting with students, staff, parents, and artists
Additional responsibilities The Performing Arts Assistant might be requested to perform other duties relevant to the position; these duties will be assigned by the School and/or his/her Supervisor and will be in line with Swiss law provisions.
